TL;DR
Ask what the agency's revenue figure actually contains before using it to choose a vendor. Separate package sales from delivered services, cash received from refunded amounts, new clients from existing relationships, and acquisition costs from service costs. Request a reconciliation with a stated cutoff and comparability limits. A large sales screenshot cannot supply those definitions.
Start with the purchase decision behind the case study
A medspa agency may present a successful campaign through a dashboard headed “revenue.” Your decision is whether the underlying work, staffing and economics are relevant to your practice. A report can be genuine and still answer a different question from yours.
Ask the presenter to finish this sentence: “This figure measures ___ for the included client group ___ through the reporting cutoff ___.” If the answer changes between booked packages, card transactions and completed treatments, pause the comparison until those events have separate names.
GetPatients has a commercial interest in healthcare visibility services. Apply this evidence request to its sales material as well. This is an original buyer's worksheet, not an audit opinion, agency ranking or prediction of what your medspa will earn.
For U.S. advertising, FTC guidance calls for objective support before an objective claim runs. That supports asking for evidence; it does not establish that an unnamed agency has broken the law. FTC advertising guidance.
Request a package-to-delivery reconciliation
The distinctive issue with a package-led offer is the relationship between money collected and work still owed. Ask for a suitably limited explanation of how the agency's report represents that relationship. Do not request client names, treatment photographs, payment-card details or clinical records.
| Evidence field | What the vendor should define | What an unclear answer leaves unresolved |
|---|---|---|
| Included population | New inquiries, new clients, existing clients or an identified mix | Whether the example demonstrates acquisition or reactivation |
| Package event | Agreement signed, deposit collected, payment completed or another event | Whether “sold” means cash received |
| Receipt basis | Gross collected amount, retained amount and treatment of taxes or financing | What the headline amount includes |
| Reversals | Refunds, chargebacks, canceled agreements and the observation cutoff | Whether later reversals are missing |
| Service status | Delivered, partly delivered and still outstanding under actual terms | How much future work accompanies the receipts |
| Repeat activity | Additional purchases and existing-client transactions | Whether the same relationship is counted again |
| Acquisition input | Media, agency, creative, software and handling costs | Whether the figure is only a gross-sales comparison |
| Delivery input | Practice-supplied labor, consumables and other finance-defined costs | Whether service obligations have been considered |
Keep these fields alongside the actual claim. A payment processor screenshot may support a receipt event without establishing the source of the client or the eventual cost of delivery. Ask who reconciled the records and what evidence remains unavailable.
Follow a conditional package example without invented amounts
Suppose an agency's example includes prepaid packages for new and existing clients. Ask it to split those groups using its actual definitions. Then ask which receipts remain after recorded refunds at the cutoff and which services remain outstanding.
Do not subtract the agency fee from gross package sales and call the remainder profit. Ask the financial owner which service costs, unpaid balances, reversals and obligations belong in the analysis. A completed appointment may use a previously collected package balance rather than create fresh cash. Counting the original sale and the later redemption as separate revenue events would need an explicit accounting basis, not a convenient dashboard label.
For a simple receipt reconciliation, let G be the included gross receipts and R the recorded reversals against those same receipts. G minus R is the retained receipt subtotal under those definitions. It is not profit, recognized revenue, incremental revenue or predicted return. Keep outstanding service obligations beside that subtotal rather than silently treating them as already fulfilled.
Have the practice's qualified financial team determine accounting treatment. The worksheet organizes questions for procurement; it does not decide how prepaid services should be recognized in financial statements.
Test whether the example fits your medspa
Record the offer's actual terms, service mix, provider availability and consultation process. A campaign selling a discounted package to established clients is a different acquisition assignment from attracting new consultation requests for a provider with limited availability. Neither comparison becomes suitable merely because both businesses are medspas.
Ask what the practice supplied: usable creative, consultation handling, provider footage, financing administration or staff who followed up. These dependencies may explain why the work cannot be reproduced within your proposed scope. Request the campaign artifacts or an appropriately limited walkthrough when confidential financial detail cannot be shared.
Use the general source-check method to assess whether evidence supports the claim. Use the agency interview guide for wider selection questions. This reconciliation adds the package-specific question those guides do not resolve: whether the claimed sales include future service work, reversals and repeat relationships.
Send a decision-ready evidence request
Ask: “Please reconcile the claimed amount to its defined client group, payment event, reversals and reporting cutoff. Show how package redemptions, outstanding services and existing-client purchases are represented. Identify acquisition costs, practice-supplied work and material exclusions. We will use the example to assess comparable work, not as a forecast.”
Then classify the answer as comparable for a stated purpose, useful only as a work sample, or insufficient for the financial claim. Record unresolved field ___; effect on comparison ___; additional evidence requested ___; purchasing decision ___. Legitimate confidentiality limits can narrow what you conclude without requiring a vendor to disclose someone else's sensitive records.
Frequently asked questions
Can a real revenue screenshot still be insufficient?
Yes. It may establish a transaction total while leaving the population, refunds, acquisition source and service obligations unclear. Ask what it proves and limit your conclusion accordingly.
Should every agency provide client financial records?
No. Request a suitably limited reconciliation, method explanation or reporting demonstration. If performance cannot be substantiated within legitimate disclosure limits, assess the demonstrated work without using the unsupported amount as your budget forecast.
Does this prove which agency will produce the best return?
No. It makes the evidence easier to interpret. Your actual offer, costs, capacity and inquiry handling still need practice-specific evaluation.
