TL;DR
Anchor acquisition to a person's first qualifying relationship event under a declared reporting rule, then keep later urgent-care encounters in an encounter ledger. A return for another service, a different location or an employer-directed visit does not automatically create a new person. Preserve the original relationship cohort while reporting current activity, source evidence and unknown history separately.
Define the practice boundary before counting
An urgent-care report can contain new registrations, walk-ins, repeated encounters, employer-directed services and visits at different group locations. Decide whether “new” means new to the clinic group, new to a location or new to a service. Display those labels separately when the owner needs each view.
For a new-to-group acquisition question, a proposed qualifying event is the first completed encounter under an approved history rule. Record earlier inquiries and arrivals without promoting them to that event. This is a management definition for the report, not a clinical or billing definition.
Have authorized practice staff apply the rule using the historical coverage actually available. A new software record or an unmatched telephone number is not sufficient evidence of a new relationship. Retain unknown history instead of defaulting every unmatched record to new acquisition.
Use linked relationship and encounter ledgers
The following original report design keeps the units separate. The practice performs person-level reconciliation inside approved systems; the agency receives only a summary approved for its actual purpose and recipient.
| Ledger | Field to establish internally | Reporting purpose |
|---|---|---|
| Relationship | Declared group or location boundary and historical coverage | What the acquisition definition actually covers |
| Relationship | Earliest known inquiry, if appropriately available | Prior contact remains distinct from an established relationship |
| Relationship | First qualifying completed encounter and its original source evidence | Acquisition cohort stays anchored when later visits occur |
| Relationship | Prior relationship or unknown status at the anchor | Avoids resetting history for a fresh registration |
| Encounter | Current completed event, service and location under clinic definitions | Actual period workload without extra new-person credit |
| Encounter | Consumer, employer-directed or unresolved administrative origin | Current demand path stays separate from original acquisition |
| Encounter | Current source evidence and confidence | A return interaction can be observed without rewriting the start |
| Reconciliation | Duplicate, cancellation, unresolved link and observation cutoff | Corrections remain visible rather than becoming new acquisitions |
Do not sum relationship starts and encounters into a total of acquired people. A relationship-start event can also be part of encounter workload, but those are alternate views of the activity, not additive acquisition units.
Preserve the urgent-care return boundary
If someone first attends through a consumer route and later returns under an employer arrangement, retain the original group relationship under your rule. Report the current encounter's employer origin separately. Do not credit employer-account acquisition to the consumer campaign or new-person acquisition to the later service merely because both records are tagged.
If someone first attends through an employer-directed route and later chooses the clinic for consumer care, preserve that original start while identifying the consumer-service entry. That service expansion can be useful to understand without treating the person as newly acquired again.
If an established person visits another location in the group, the encounter may be new to that location while remaining an established group relationship. If the clinic cannot appropriately reconcile across sites, report the supported local events and state that group-level newness is unresolved. Do not estimate the group total by adding local new-record labels.
These conditional classifications are reporting tests, not invented cases or statements about actual utilization. They do not prescribe return frequency, encourage extra encounters or determine whether a service is clinically appropriate.
Keep acquisition cohorts stable across reporting periods
Preserve the original relationship classification as later encounters accumulate. A person classified as new at the original qualifying event remains in that acquisition cohort. Their later visit belongs in current encounter activity; it should not retroactively make the original acquisition disappear or create another acquisition.
Preserving a cohort does not mean preserving a proven error. If appropriate historical evidence later shows that the original new-relationship classification was wrong, correct it with the evidence, reason and reporting revision recorded. Distinguish that correction from an ordinary later encounter, which leaves the original acquisition event intact.
Keep inquiry-entry period, relationship-start date, encounter period and observation cutoff separate. Recent unresolved registrations should not be compared with older cohorts as though each had equal time to reach a qualifying event. A cancellation or repeated registration remains in the event history without adding people.
Google Ads lets advertisers select whether a conversion action counts every conversion after an interaction or a single conversion. Google's conversion-counting guidance. That platform setting does not establish prior clinic history or deduplicate people across locations, services and employer routes.
Require a reconciliation demonstration
Ask the reporting owner to demonstrate the rules with synthetic records outside live outreach. Include a consumer relationship later using an employer service, an employer-directed start later entering consumer care, an established group relationship visiting another office and unresolved prior history. Show the original relationship anchor, current encounter and source confidence separately.
The demonstration should change current activity without resetting the acquisition clock. Unknown history should stay unknown until appropriate evidence resolves it. A new service or location can earn its own clearly labeled entry measure while remaining excluded from additional new-to-group credit.
The general measurement dictionary supplies upstream event distinctions. The reporting guide keeps methods and limitations visible. This urgent-care report adds employer/consumer crossover and location crossover without assuming a prescribed course of follow-up care.
Frequently asked questions
Are returning encounters worthless to a campaign review?
No. Report supported returning activity under its own objective and evidence. Its value does not require relabeling an established person as newly acquired.
Does a new concern create a new marketing relationship?
Keep the approved relationship rule separate from the clinic's encounter classification. Qualified staff determine the service event; the acquisition definition preserves prior history.
What if the vendor sees only registration events?
Accept a registration report with that limit. Do not infer people, attendance or new-to-group acquisition without appropriate practice evidence.
