TL;DR
Decide whether to repeat a PT workshop from its purpose, full resource cost and appropriately recorded inquiry outcomes. Separate attendance, permission for follow-up, evaluation requests and attended evaluations. Keep educational value visible without calling it patient acquisition. Use a permissioned inquiry report before buying another event, and leave clinical need outside the marketing decision.
Decide what the event was purchased to accomplish
A workshop can be useful education without demonstrating demand for paid PT. An owner deciding whether to repeat it needs to know which purpose the budget served. Write the purpose before reviewing turnout: public education, an existing community relationship, or a defined acquisition test for an actual clinic service.
If acquisition was the purpose, name the service, payment arrangement, territory and evaluation access the event introduced. A room full of interested participants does not establish that they understood the payment model, wanted an evaluation or could use the available appointment options. Record those questions separately rather than interpreting applause as intent to buy care.
Keep the workshop's educational and clinical content under the practice's qualified review. Do not diagnose attendees, prescribe a visit series or use a marketing worksheet to decide who needs treatment. The owner is evaluating the acquisition activity, not whether attendees ought to become patients.
Reconstruct the event's full resource cost
Build the event labor record from calendars, invoices and staff time notes. Include topic preparation, factual review, venue coordination, promotion, travel, setup, delivery, cleanup and approved follow-up. Ask the owner to record work that happened outside the normal clinic day too. A vendor invoice records a charge; a missing time log can leave staff effort invisible.
| Resource | Evidence to enter | Decision it informs |
|---|---|---|
| Purchased event work | Actual venue, production, promotion and vendor charges ___ | What must be purchased again? |
| Clinician preparation and delivery | Recorded active time and approved labor-cost method ___ | Can this clinician support another event? |
| Operations effort | Coordination, setup, intake and reconciliation time ___ | Did attendance create unsupported staff work? |
| Capacity displaced | Actual evaluation blocks or other duties displaced ___ | What operating opportunity was given up? |
| Reusable assets | Approved slides, public handout and setup process ___ | Which costs are reusable rather than recurring? |
| Additional follow-up work | Permitted task, assigned owner and actual effort ___ | Is the next event priced with its downstream work? |
For each resource, distinguish cash expense, labor valuation and displaced capacity. Do not add foregone revenue to a labor charge automatically: the finance owner should explain whether that would double count the same resource. Keep unknown amounts blank. This is an original purchasing worksheet, not an event-cost benchmark.
Build the permissioned inquiry report
Agree the observation cutoff and definitions before assembling the report. Keep record-level work inside the clinic's approved systems. The marketing discussion should use only findings the practice approves for that recipient, with no attendee health histories or identifiable question transcripts.
| Report field | Evidence that supports it | Boundary to retain |
|---|---|---|
| Attendance | Actual check-in method and coverage | Attendance is educational participation |
| Follow-up preference | Recorded choice, purpose and approved communication route | Attendance alone is not permission for a later campaign |
| Explicit clinic inquiry | Actual request about the offered service | A question asked during teaching is not automatically a sales inquiry |
| Evaluation requested | Clinic receipt under its actual process | Request is separate from confirmed scheduling |
| Evaluation confirmed or attended | Clinic-verified state at the cutoff | Preserve cancellations, reschedules and unresolved states |
| Relationship history | Clinic-approved new or returning classification | Existing relationships do not become newly acquired people |
| Source evidence | Recorded event influence, other influences or unknown | A later branded search does not prove the event had no influence |
Use the discovery attribution guide to preserve mixed journeys. Do not force a person to name the workshop as the sole source to make the event look measurable. If event influence is unavailable, report the gap rather than assign all subsequent evaluations to the workshop.
For U.S. covered entities, HHS distinguishes specified healthcare communications from marketing uses of protected health information and describes authorization requirements and exceptions. An in-person conversation does not automatically authorize a later marketing campaign. HHS marketing guidance. Have the responsible practice reviewers assess the actual follow-up, information use and jurisdiction. A sign-in sheet should not become an agency campaign list by default.
Choose repeat, redesign or stop
Write a decision brief using the completed records: original purpose ___; actual resource commitment ___; permitted inquiry evidence ___; unresolved outcomes ___; usable evaluation access ___; proposed next action ___. If collection evidence is relevant to the spending decision, have billing supply an appropriately scoped summary. Do not assign a hypothetical care-series value to every attendee.
Repeat an acquisition event only when the owner accepts the actual resource tradeoff and evidence. Redesign when the invitation, payment explanation or receiving process obscured the intended offer. Stop or defer when the clinic cannot support the workshop or its next step. There is no universal attendance threshold here.
An owner can also retain the event for community education with a separate budget and purpose. Say that plainly. It allows a worthwhile activity to continue without manufacturing a patient-acquisition claim. Use the scope budget worksheet to price outside help around the retained work.
GetPatients has a commercial interest in healthcare visibility services. Apply the same evidence requirement to any workshop-related marketing proposal, including its own. No provider's enthusiasm replaces the clinic's decision record.
Frequently asked questions
Does low evaluation demand mean the workshop failed?
Judge it against its stated purpose. Educational value and acquisition evidence answer different questions. If acquisition was the goal, investigate the offer and access path without concluding attendees needed care.
Can we email everyone who signed in?
Have the responsible practice owners assess what was collected, the stated purpose, contact preferences and applicable rules. Attendance does not itself settle permission for a new communication.
What if people inquire long after the event?
Preserve the recorded event influence and observation cutoff. Later outcomes can update the cohort report without rewriting the earlier record or claiming the event was the only cause.
