TL;DR

Define acquisition at the practice-relationship level before counting psychiatry appointments. Separate newly attended evaluations from established-patient follow-ups, transfer evaluations, internal clinician changes and returning relationships. A booking label or repeat encounter does not by itself establish a newly acquired patient. Reconcile ambiguous histories inside approved practice systems and report only what the records support.

Choose a relationship rule before exporting a report

A psychiatry schedule can contain new evaluations, follow-up appointments and requests concerning existing care. Decide whether the owner is asking about new relationships, access to evaluations or the workload of ongoing care. Keep separate reports when the questions differ.

The American Psychiatric Association explains that long-term medication treatment involves periodic psychiatrist follow-up. APA's psychiatry overview. The marketing implication is an editorial counting recommendation: subsequent encounters should not keep generating new-person acquisition credit. This is not a suggested visit frequency or a measure of care quality.

Have the practice's reporting owner define “new to this practice” using its actual records and history coverage. Record the relationship history immediately before the qualifying start event and preserve that classification as later appointments accumulate. An existing therapy relationship should not disappear when a prescriber record is opened. Do not retroactively move an outside transfer out of its original new-relationship cohort when a later follow-up is recorded. Keep that definition separate from billing classifications, which authorized clinical and billing staff determine. A billing label called new patient need not answer the owner's marketing question about the relationship history being studied.

Build a relationship-start event map

Use this original map to specify the report. Add the source field, data owner, cohort period, observation cutoff and unknown-history rule to each row.

Recorded event Marketing classification to consider Exclusion or question to resolve
New inquiry received Prospective demand state Does not establish attendance or a new relationship
New evaluation confirmed Scheduled access state Preserve cancellations and reschedules without extra acquisition credit
Evaluation attended by someone new to the practice Proposed relationship-start event under the approved rule Prior relationship must be checked rather than assumed absent
Transfer from an outside practice Potential new-to-practice relationship after the qualifying event Transfer request alone does not establish attendance or accepted ongoing care
Existing patient changes prescriber within the group Internal access or continuity event Does not create another new-to-group relationship
Established patient starts a different service Service-entry demand, if appropriately supported Separate from acquisition of a new person
Returning person after a gap Returning relationship under the declared rule Do not reset history simply to improve acquisition totals
Follow-up encounter Established-care workload No additional new-person credit

These classifications are management proposals, not universal appointment codes. A single event can answer an access question while remaining excluded from a new-to-group acquisition count. Preserve both meanings instead of forcing all activity into a success label.

Keep therapy and prescriber relationships distinguishable

If the organization offers therapy and psychiatry, ask what the report calls the practice boundary. A therapy client entering the prescriber service may be new to that service while already known to the organization. A person arriving from an independent therapist may be new to the psychiatry practice. Those conditional paths should not inherit the same relationship rule automatically.

Document the organizational boundary and permitted internal linkage. Have authorized staff reconcile the relevant records within approved systems. Do not send therapy histories or medication details to an agency to settle a marketing definition. The partner should receive only a summary the practice has approved for the actual recipient and purpose.

When the relationship cannot be established, retain unknown. A missing record is not evidence of a new person. The measurement dictionary covers upstream citations, visits and requests; this map adds service entry, outside transfer and internal prescriber change.

Test repeat-visit exclusion with synthetic records

Ask the analyst to demonstrate the rule using clearly labeled synthetic events outside live outreach. Include an outside transfer request that never attends, an attended evaluation followed by established visits, an internal prescriber change and a therapy relationship entering psychiatry.

The test should show the original relationship event, later workload and exclusions without erasing their histories. Moving an appointment should update its state rather than add another acquired person. A record whose prior relationship is unresolved should remain unresolved.

Ask what the source system actually permits. If an agency observes only a form submission, its report can use a request measure with that limit. A software setting that suppresses repeated events does not establish the person's relationship history. Do not manufacture a complete acquisition funnel from a partial tracking setup.

Use compatible costs and cohorts

For a cost-per-new-relationship calculation, finance and reporting owners must agree on the included acquisition costs and the matching relationship cohort. Costs divided by unrelated follow-up encounters do not answer that question. If the denominator is empty or unavailable, show unavailable rather than an invented rate.

Keep current-period encounter workload separate from relationship cohorts that may begin earlier. An agency review should state changes in clinician availability, intake access and definitions. Use the report specification to make the method and exclusions visible.

No counting method establishes that marketing caused an appointment or that ongoing care should be extended. The purpose is to prevent existing care from being sold back to the owner as repeated acquisition.

Frequently asked questions

Can we count transfers as new patients?

State the boundary. An outside transfer may qualify as new to the practice after your defined relationship event; a transfer between your own prescribers usually answers a different management question. Preserve actual history and qualified appointment classifications.

Should follow-up visits disappear from the agency report?

They can remain as separately labeled capacity or workload context. They should not silently increase a new-person acquisition total.

What if we cannot connect therapy and psychiatry records?

Report the supported service-level events and disclose the missing relationship link. Decide internally whether an appropriate prospective reporting change is useful. Do not guess the organization-wide people count.
