TL;DR
Keep the person's practice relationship, evaluation activity and commercial program status separate. A renewal, recurring payment or follow-up encounter does not by itself establish a newly acquired patient. Define the events and reconcile them within approved practice systems before accepting an agency's acquisition total.
Choose the relationship you are measuring
A hormone clinic report can combine inquiry forms, initial evaluations, program enrollments, continuing appointments and recurring payments under a broad growth label. Those activities can all matter to the business while answering different questions.
Choose an acquisition definition with the practice before examining campaign results. For example, you may define a new practice relationship by the first attended evaluation at that practice, while separately recording an earlier inquiry and program enrollment if it occurs. That is a reporting policy to document, not a universal clinical or billing definition.
The reporting question is whether the practice formed a new relationship, re-engaged an earlier contact or continued an existing service. It must not imply that a purchase, subscription or renewal establishes treatment suitability.
Build a relationship-state event dictionary
Use the following suggested fields within a practice-approved process. Staff with appropriate access establish the status. A marketing partner should receive only the report and information the responsible practice reviewers have approved for that purpose.
| Event or state | Definition to settle locally | What must remain separate |
|---|---|---|
| First recorded inquiry | Earliest known contact under the agreed matching rule | Whether any evaluation was attended |
| Returning unconverted inquiry | Earlier contact exists but no attended evaluation is established | A genuinely new contact and a confirmed return to care |
| Initial evaluation scheduled | Scheduling record confirms the requested appointment | Attendance and any later clinical decision |
| First attended evaluation | Practice verifies the first completed evaluation under its rule | Program purchase, treatment and clinical suitability |
| Program enrollment | Approved commercial record shows enrollment | Whether the person is new to the practice |
| Ongoing-care encounter | Encounter belongs to an established relationship | Acquisition credit and recurring billing activity |
| Program renewal | Commercial term continues or is renewed under actual terms | New-person acquisition and clinical continuation decisions |
| Return after a gap | Existing relationship resumes under an agreed reporting definition | A new relationship, even if software creates a fresh record |
| Unknown relationship | Available records do not resolve prior contact or attendance | A convenient assumption that everyone is new |
Add evidence system ___; event date meaning ___; deduplication rule ___; responsible owner ___; reporting period ___; limitation ___. Preserve the category definitions alongside each report so labels remain interpretable after an agency or software change.
Record prior relationship status at the agreed inquiry or relationship-start anchor and retain it as later activity occurs. Keep the qualifying acquisition event date separate from enrollment, renewal and encounter dates. State the outcome observation cutoff so a recent unresolved inquiry is not compared as though it has the same follow-up history as an older cohort.
Make the program boundary explicit
Someone can attend an evaluation without joining a program. Someone already receiving care can join a different commercial arrangement without becoming new to the clinic. A payment can be processed without a new encounter. Build the report so each of those possibilities remains visible.
Use this state-change check with the clinic's verified records. These are conditional bookkeeping situations, not claims about a particular program or recommendations about continuing care.
| Recorded change | Update in the commercial record | Relationship or care evidence still required |
|---|---|---|
| Evaluation attended without enrollment | No enrollment recorded | Whether the attended event qualifies as a new practice relationship |
| Established patient changes program | Actual new arrangement and its effective state | Preserve the existing practice relationship; use qualified records for care activity |
| Program renews without a new encounter | Renewal and actual payment status | Do not infer an encounter from the charge |
| Program ends while care continues under another arrangement | Program exit and any remaining commercial obligations | Keep the established relationship and separately verified care activity |
Ask the analyst to demonstrate these distinctions with synthetic records. Changing a commercial field should not automatically rewrite the original acquisition category or create a clinical event.
Use separate report sections for acquisition, program activity and continuing care. Link them analytically only through the method the practice has approved. Do not ask the agency to infer a clinical relationship from a receipt or browse health records to resolve ambiguous classifications.
For U.S. covered entities, HHS explains that uses or disclosures of protected health information for marketing generally require authorization, subject to exceptions. Its guidance distinguishes certain healthcare communications. Have the practice assess the actual data use rather than treating every follow-up as unrestricted marketing. HHS marketing guidance.
This reporting framework does not decide whether HIPAA applies to a particular clinic, inquiry or recipient. The privacy owner must approve the actual workflow; an aggregate table is not automatic permission to share it.
Reconcile changes instead of inflating activity
Ask operations how cancelled and rescheduled evaluations are recorded. Preserve the original request where appropriate so moving an appointment does not create another acquired person. Identify imported records and duplicate contacts before comparing totals across a software migration.
Where a patient leaves a commercial program but continues to see the clinician through another arrangement, record the commercial change without guessing that the clinical relationship ended. Conversely, a continuing payment record is not sufficient evidence that care occurred.
Keep website metrics outside the relationship dictionary. Google Analytics defines a session as a period of interaction with a website or app. It is not the clinic's evidence of an acquired relationship. Google's session definition. The measurement guide explains the discovery-to-appointment distinctions; this dictionary adds the ongoing-program boundary.
Ask for a report that supports a purchase decision
Require the agency to label the outcome it actually knows. If only inquiries are verifiable, report inquiries. If practice-approved summaries establish attended evaluations, report those using the agreed relationship definition. Keep unknown source and unknown relationship visible.
Judge a renewal proposal against the unresolved acquisition question. A growing renewal total may justify attention to program administration, but it does not prove that the agency is bringing new people into the practice. A higher number of initial inquiries does not establish profitable or clinically appropriate enrollment.
End the review with event being improved ___; evidence available ___; missing relationship information ___; next permitted measurement task ___; owner ___. Keep care continuation under qualified clinical judgment rather than making it a marketing retention target.
Frequently asked questions
Is every program enrollment a new patient?
No. Use the documented practice-relationship rule and verify prior activity. An existing patient can enter a new program without being newly acquired.
Can renewal revenue help judge the business?
Yes, with its own defined financial report and actual collection records. Do not relabel it as new-patient acquisition or assume it predicts future retention.
What if the software calls a returning person new?
Keep the software label and your reporting definition distinct. Have authorized staff reconcile the difference or retain an unknown category; do not silently treat a new record identifier as a new relationship.
