TL;DR
Accept a screening vendor's closeout only when the clinic can identify the invitation each contact answered, the administrative task requested, supporting contact instructions and the receiving office owner. Keep clinical screening records in the appropriate practice process. An event list, a consultation request and permission for later promotion need separate decisions before promotional follow-up restarts.
Close a temporary event, not just an inbox
A screening vendor may finish its event work and deliver a contact file while office consultations remain unresolved. The clinic now needs to distinguish event registrants, attendees, people who requested an office response and people already coordinating a consultation through another route.
The closeout also needs to preserve what people were told. If the event invitation promised information about requesting a consultation, a receiving employee should not interpret every row as an agreement to ongoing promotion. If invitation wording changed during registration, keep the relevant version identifiable.
This article's tool is a batch-acceptance record for a temporary screening campaign. It governs whether the receiving office can act on the delivered material. It does not classify medical findings, establish a legal patient relationship or provide permission for contact.
Require an event closeout cover sheet
Ask the vendor and event coordinator to complete the cover sheet before transferring approved records. Keep actual records and permission evidence in practice-approved systems; the fields below are a specification, not a public spreadsheet of attendees.
| Closeout item | Evidence to retain | Acceptance question |
|---|---|---|
| Event identity and operator | Actual event, place, responsible parties and completion status | Which activity produced this material? |
| Invitation and registration wording | Relevant approved versions and collection notices | What did the person answer and request? |
| File definition | Field meanings, included populations, exclusions and duplicate handling | Does the receiving team understand what a row represents? |
| Requested administrative next step | Office consultation request, information request, no further action or unresolved | What task is actually supported? |
| Contact instructions and supporting evidence | Approved reference to the person's instructions and applicable evidence | Can the next handler establish the permitted purpose and route? |
| Clinical-record destination | Actual qualified practice record process and receiving responsibility | Are professional findings kept out of a general marketing list? |
| Vendor activity still running | Pending messages, tasks and agreed stop conditions | Could the vendor and clinic both contact the person? |
| Closeout owner and retention decision | Named accepting role, exceptions owner and approved retention process | Who resolves an incomplete transfer after the vendor leaves? |
For each approved office task, retain an internal reference, event and invitation-version reference, requested administrative action, contact-instruction evidence reference, receiving owner and current disposition. Keep contact details in the approved receiving system rather than copying them into the closeout summary.
Keep only fields needed for the approved task. Do not request screening measurements, photographs or a medical narrative merely to make a contact more marketable. If the receiving clinical team needs professional records, use its separately approved process rather than attaching them to an agency follow-up export.
Classify the file before releasing outreach
Have the designated practice reviewer inspect the actual file, invitation versions and intended communications. A missing preference field does not establish unrestricted contact. A generic checked box does not answer every question about the proposed recipient, channel, purpose or jurisdiction.
For U.S. covered entities, HHS says marketing uses or disclosures of protected health information generally require written authorization, with exceptions and distinctions for specified healthcare communications. HHS marketing guidance. Whether the event information and proposed message fall within that framework requires assessment of the actual facts. Other privacy and communications rules may also apply.
Where that assessment is unresolved, restrict the communication whose basis is unclear and name the owner of the missing decision. Have the qualified practice team maintain any separate care-related obligations through its approved process; a marketing permission gap does not itself classify or cancel that work. Continue independent closeout work, such as correcting field definitions or checking that vendor messages stop. Do not call an incomplete permission record a software problem that can be repaired by changing its status to opted in.
Use an acceptance disposition for the event batch
The receiving office should be able to accept some tasks while returning others for repair. Adopt dispositions from the actual review rather than treating the entire file as either usable leads or worthless data.
| Supported disposition | Receiving action | What remains open |
|---|---|---|
| Consultation response requested and contact process approved | Assign scheduling owner and actual next administrative action | Appointment confirmation remains separate |
| Event information only | Complete the approved information task if any | No assumed consultation request or promotional enrollment |
| Clinical question or screening finding | Use qualified practice record and response route | Marketing does not interpret the finding |
| Contact basis or instructions unclear | Restrict affected outreach and send the evidence gap to its owner | No invented preference or permission |
| Declined or restricted contact | Preserve the restriction through approved systems | No automatic restart because the event ended |
| Duplicate or preexisting office request | Reconcile under the approved method | No additional acquisition or competing sequence |
Add accepting role ___; evidence reference ___; next owner ___; unresolved reason ___; vendor stop evidence ___; approved retention action ___. A file received successfully can still fail this acceptance if the office cannot identify the requested task.
Keep task disposition, contact eligibility and clinical-record handoff as separate fields. A consultation request can coexist with a contact restriction or an unfinished professional-record transfer. Updating the task to accepted must not erase those limits. Close only the vendor's defined transfer obligation when its acceptance evidence exists; keep each receiving task and unresolved exception assigned until its own completion is verified.
Rehearse the closeout with event-specific exceptions
Use practice-authored synthetic records and controlled details. Prevent real outreach and unwanted appointments. Include a registrant who requested event information only, an attendee who requested a consultation, a restricted-contact record and a duplicate request already in office scheduling.
Ask the recipient to identify the invitation version, task and contact instructions from the approved packet alone. Then ask the vendor to demonstrate the agreed end of its pending sequence. The clinic should not have to contact a real attendee to discover what the vendor promised.
Test a missing clinical-record reference without supplying any findings to marketing. The correct action is identifying the responsible qualified route and missing handoff evidence. It is not recreating a screening result from an event status label.
Use the data-request guide to question unnecessary fields. Use the booking incident method for a demonstrated delivery fault. This closeout record accepts the event population and its supported uses before routine consultation handling continues.
GetPatients has a commercial interest in healthcare visibility services. Require the same closeout evidence from any partner. Accept the vendor's agreed closeout only when the receiving responsibility and remaining exceptions are clear.
Frequently asked questions
Is a list of everyone who attended enough?
It can establish the population the list actually records. It does not establish that everyone requested a consultation or may receive the proposed communication. Request the invitation, field meanings and supported administrative tasks.
Should we delete the vendor's system after import?
Use the actual agreement and the practice's approved retention, access and deletion process. Successful import alone does not settle those obligations or establish that the clinical record handoff is complete.
Can the office call someone just to clarify a missing contact permission?
Have the responsible reviewer assess that proposed contact itself. Do not treat a missing basis as automatic permission to ask through an unapproved channel.
