TL;DR

Keep the original inquiry cohort, but report administrative work and recipient-specific contact preferences as separate dimensions. A person requesting time is different from a practice that still owes an answer. Do not call either state a lost inquiry or assume a later consultation. Use the task-and-contact-state report to choose the next operational repair without pressuring people to decide.

Stop using silence as a decision label

An open fertility inquiry may involve an unanswered fee-process question, a request to pause, uncertainty about contacting a partner or an incomplete staff record. These are conditional administrative examples, not a claimed standard fertility decision cycle.

A single “not converted” column hides those distinctions. It also makes a requested pause look like staff failure. Ask the report owner to show what is known, what remains unknown and which work the practice has accepted.

Keep clinical circumstances out of the marketing explanation. A pause does not need a diagnosis or intimate narrative to remain a pause. Do not ask staff or an agency to infer motivation from browsing or missed contact.

Google Analytics defines a session as a period of website or app interaction. Google's session definition. A return visit can therefore remain an interaction observation; it is not evidence that a person has changed a contact preference or decided to schedule.

Build the report around independent dimensions

This original report is a management specification. Inquiry-level records remain in approved practice systems. Have the responsible practice reviewer assess the actual aggregate summary and its intended recipient before sharing it with an agency.

Dimension Permitted administrative categories to adapt What the category must not imply
Original inquiry cohort Defined receipt period, supported source and repeat-contact rule A later event creates a newly acquired inquiry
Consultation event Requested, confirmed, attended, rescheduled or unknown under verified definitions Any consultation event predicts treatment
Practice obligation Answer owed, requested task completed, no open task or unknown A person owes the practice a decision
Contact preference Current approved channel, requested pause, no promotional follow-up or unresolved evidence An open obligation permits every kind of message
Person's stated administrative position Gathering information, requested later contact, declined invitation or not stated The agency has assessed readiness or motivation
Observation basis Actual cutoff, available event history and missing fields The snapshot includes events outside its scope

These dimensions may coexist. An inquiry can have a confirmed consultation and a restriction on promotional messages. A person can request a pause while the practice still owes an answer through its approved process. Do not force those facts into mutually exclusive stages.

In a shared family-building inquiry, the practice may owe a fee-process answer to the approved requester while another listed participant has restricted promotion. Keep the task's intended recipient, purpose and applicable restriction interpretable inside the approved system. Do not assign a shared readiness label to everyone mentioned or treat a restriction as evidence that the practice completed its work.

Read the obligation-and-preference cross-tab

Ask operations to prepare a summary that crosses practice obligations with verified contact states. Use blanks for actual totals and keep unknowns visible. Do not add overlapping categories together as though they count different people.

Declare whether the summary counts inquiry episodes, open tasks or recipient-specific restrictions. Keep those units separate: related participants and multiple questions can belong to the same inquiry. If overlapping tags are shown, label them as tags and provide a reconciled inquiry total under the documented inclusion rule. A task total must not be presented as acquired people.

Practice state Contact state Owner decision supported
Answer still owed Approved response route established Assign the answer to its responsible team under the practice process
Answer still owed Requested pause or restriction Responsible staff resolve how to handle the obligation while preserving the restriction
No task currently owed Person requested time Preserve the state; do not create an artificial chase target
No task currently owed Invitation declined and further promotion restricted Preserve the decline and restriction without creating a chase target
Obligation or preference unknown Evidence incomplete Repair the record before automation or performance conclusions

The report specifies a decision for staff; it does not authorize outreach. If an unresolved question concerns treatment, route it to qualified practice staff. Avoid using agency performance incentives to override preferences or replace clinical judgment.

Preserve timing without reproducing a generic cohort dashboard

Keep receipt dates and original grouping stable. When comparing cohorts, use equivalent observation opportunities and declare the inclusion rule. An older group with more time to accumulate events is not a fair direct comparison with a newer group.

The implant cohort guide explains age-matched snapshots. Here the additional decision is how much open work belongs to the practice versus a person's requested waiting state. Do not attach projected treatment value to either category.

Keep calendar workload separately when needed. Staff may need to know what requires action now while the owner needs to understand inquiries originating in an earlier period. Those reports can use the same approved records without rewriting the inquiry's origin.

Renew against the repair the report reveals

If open practice obligations accumulate in a verified category, review response coverage or the relevant handoff. If requested pauses are accurately preserved and no task is owed, do not commission more aggressive messaging solely to shrink the open column. If records are incomplete, purchase a defined classification or reporting repair before claiming that a campaign has failed.

Ask the agency to show the definitions, available evidence, exclusions and proposed action together. GetPatients has a commercial interest in healthcare visibility services; these reporting limits apply to its proposals too. No agency result or required decision duration is claimed.

This report remains useful during ordinary operations. A vendor change creates an additional continuity job: someone must accept open responsibilities and preserve recipient-specific restrictions. A reporting snapshot does not establish transfer rights or authorize the receiving vendor's contact.

Frequently asked questions

Is a requested pause a lost inquiry?

Record what the person stated. Preserve the pause and any practice obligation without predicting a later consultation or treating waiting as failure.

Should contact preference be another funnel stage?

Keep it separate. It can constrain communication at several administrative stages and can change without changing the original inquiry cohort.

Can the agency infer readiness from page visits?

A visit does not establish a personal decision or permission change. Use approved operational evidence and explicit preferences rather than a marketing readiness score.
