TL;DR
Before buying automated fertility inquiry follow-up, define the permitted recipient, channel, message purpose and stop behavior. Test changes and ambiguous preferences with synthetic records. Keep promotional sequences separate from practice-owned responses and clinical communication. An inquiry staying open does not justify repeated messages or pressure to choose treatment.
Purchase a contact policy before a sequence
A proposal may describe a nurturing workflow without saying what happens when someone asks for time, changes their preferred channel or says a partner should not be contacted. Those are acceptance conditions for the purchase, not optional copy edits after launch.
Do not assume every fertility inquiry involves the same relationship or communication arrangement. Ask who supplied each contact route, what preference was actually expressed and which practice process approves its use. Shared family-building interest does not establish that every participant wants the same messages.
The tool below is an original procurement specification. It does not establish consent for any actual message or determine which laws apply to a particular practice.
Complete a contact-preference contract
Have operations and the responsible privacy or legal reviewer define the real rules. Give the vendor approved states and transitions instead of asking it to invent them from a generic sales template.
| Contract item | Practice decision to document | Acceptance evidence |
|---|---|---|
| Recipient | Who may receive this specific communication | Correct approved destination, without inferred partner contact |
| Purpose | Requested administrative response, promotional invitation or separately governed practice communication | Message stays within the approved purpose |
| Channel | Current permitted channel and relevant restrictions | Sending task cannot silently substitute another channel |
| Pause | Person-requested waiting state and approved handling | Scheduled promotional tasks respect the pause |
| Stop | Opt-out or other restriction and responsible owner | Pending promotional tasks are suppressed through the approved process |
| Missing evidence | Unknown recipient or permission state | No automatic promotional enrollment while unresolved |
| Preference change | Source, effective state and responsible reviewer | Current state replaces the obsolete task instruction |
| Handoff | Named practice owner for unresolved questions | Automation routes the issue without improvising an answer |
Keep the permitted purpose attached to the message template. A system that knows an email address still needs an approved decision about using it. A coordinator's response to an actual question should not become an indefinite promotional campaign by default.
Review applicability before approving messages
For U.S. HIPAA-regulated uses of protected health information, marketing generally requires written authorization, with limited exceptions and distinctions for specified healthcare communications. HHS explains those boundaries; the current authorization rule addresses marketing authorizations.
Have the practice's qualified reviewers assess the actual entity, information, message purpose, channel and jurisdiction, including other applicable rules. This U.S. source does not settle rules elsewhere or classify every inquiry message. A channel preference by itself does not complete that review.
Record the approved decision in the operational system. Do not ask the agency to resolve legal applicability by labeling a campaign “patient education.” Review the actual message and intended use.
Require stop-rule demonstrations
Use a controlled test setup and clearly labeled synthetic records. Prevent real outreach and unwanted appointments. The following table specifies proposed tests, not completed vendor results.
| Synthetic condition | Failure to reject | Demonstration required |
|---|---|---|
| A pause is recorded after a task was queued | Old task sends because enrollment happened earlier | Pending task checks or otherwise respects the current approved restriction |
| The approved channel changes | System falls back to an unapproved route | Current channel decision governs the sending task |
| A shared inquiry lists another person | Workflow enrolls that person automatically | Recipient review remains specific to the individual |
| A request to stop arrives through a different supported route | Restriction remains isolated in that inbox | Responsible owner reconciles the state before further promotion |
| A personal treatment question arrives | Automation gives a personal clinical conclusion | Approved handoff reaches qualified practice staff |
| Permission evidence is unavailable | Import defaults to active promotion | Affected record remains outside promotional sending pending resolution |
Ask the vendor to show pending work as well as the visible contact record. A changed label is not sufficient if an earlier task remains scheduled elsewhere. Save the test condition, observed behavior, correction and retest decision.
Give repeated messages a defined purpose
Do not buy a cadence because a vendor calls it standard. Ask what each proposed message answers, why the contact is approved and what condition ends the sequence. Remove messages whose purpose is simply to create urgency around a personal treatment decision.
Use the chatbot answer-boundary specification if the vendor also proposes automated replies. This contact contract adds the sending and stopping conditions; a tool that produces an acceptable answer has not thereby demonstrated safe enrollment or suppression behavior.
GetPatients has a commercial interest in healthcare visibility services. Apply the same contract and tests to its proposed work. No automation capability or improvement in consultations is claimed here.
Frequently asked questions
Does a pause require closing the inquiry?
No. Preserve the open administrative state and the contact restriction separately. The responsible practice team decides how any remaining obligation is handled.
Can we restart a sequence because someone visits the website?
A visit does not establish a changed preference. Require the approved evidence and practice process before changing the sending state.
What if the vendor cannot show how pending messages stop?
Keep the affected automation out of launch and ask for a concrete correction or a narrower workflow the practice can supervise. A promise about considerate copy does not answer the task-control problem.
