TL;DR

Compare mail and search with the same appointment definitions, actual cost categories and observation limits. Preserve mail-assisted search rather than forcing every inquiry into an exclusive channel. A dedicated mail route can show response through that route; it cannot reveal everyone who saw the piece and later searched for the practice.

Start with the acquisition decision

A newly acquired dental practice may want to introduce its current team, explain an actual service or make its location easier to find. Specify that objective before asking whether postcards outperform search. An announcement and a search campaign answering an immediate service question may perform different jobs.

Write the promoted visit, relevant geography, payment message and actual appointment capacity in a shared brief. Compare the campaigns only where those conditions make sense. A mail announcement for the general practice and an ad for a narrowly defined consultation do not provide a clean channel comparison simply because their invoices arrive together.

GetPatients has a commercial interest in healthcare visibility services. This comparison should apply fairly to mail providers, digital agencies and its own proposals. No channel wins by default, and neither a vendor anecdote nor an attractive unit price establishes incremental patients.

Build the cost ledger before calculating a rate

Ask for written quotes and then record actual fulfillment costs as available. The U.S. Postal Service's EDDM guidance separates route selection, design and printing, preparation and postal entry. Its posted postage is not a complete dental campaign budget. USPS EDDM guidance.

Do not assume EDDM is the intended mailing product or that its route audience fits the practice. Have the provider identify the actual service, preparation requirements, mailing scope and current written price. Keep rates out of an evergreen comparison unless the date and applicable terms are essential.

Cost field Mail campaign Search campaign
Preparation Creative, approved practice message, printing and preparation quote ___ Creative, approved message and landing-page setup quote ___
Distribution Actual postage and entry/shipping expense ___ Actual media expense ___
Management Vendor management and reporting ___ Vendor management and reporting ___
Shared assets Website or page work allocated under a stated rule ___ Same shared work, without counting it again ___
Inquiry handling Actual attributable staff or vendor work under an approved costing method ___ Same method and actual work ___
Continuing obligations Replacement pieces, unused inventory or contract terms ___ Software, landing-page and contract terms ___

Record refunds and credits alongside the original cost rather than replacing the history. If a staff-cost estimate is unavailable, mark it excluded. A partial cost measure can still help if its limits are visible; an invented labor amount cannot make it complete.

Keep assisted discovery visible

Use an optional neutral source question only through the practice's approved process. It should allow a person to report mail, search, another source, several influences or uncertainty. Do not train reception to select the channel with the most recent invoice.

Consider a conditional journey: someone sees an introduction postcard, later searches the practice name and calls the number on the website. A search referral record and a reported mail influence can describe that journey at different points. It would be misleading to claim exclusive acquisition credit for either from those observations alone.

Create a separate assisted-discovery column rather than moving the inquiry back and forth between agencies. Use the neutral discovery-source method for wording and limitations. Do not collect private conversations or patient histories to make marketing attribution appear more precise.

Evidence field Keep as recorded Interpretation limit
Distribution record Actual mail entry or campaign activity Not evidence of individual attention
Observed entry route Approved campaign route or website referral where measurable Not the full discovery history
Reported influence Person's optional broad response Not complete recall or causal proof
Inquiry state Received, reached, requested visit or unresolved Not a confirmed appointment
Appointment state Verified confirmation or attendance under the chosen definition Not automatically caused by the campaign

Keep underlying reconciliation inside approved practice systems. Share only summaries reviewed for the intended recipient and purpose.

Choose denominators that answer the same question

Define a unique inquiry under the office's actual reconciliation method. A return call and a form from the same request should not become separate acquired patients merely because different systems recorded them. Preserve existing-patient requests separately if the decision concerns new-patient acquisition.

For each campaign, show the actual cost included and the verified event counted. “Included campaign cost divided by verified appointment requests” is an accounting ratio only when the denominator is present and compatible with the cost period. If no qualifying event is recorded, report the ratio as unavailable. Do not insert an assumed conversion rate or treat the arithmetic as a revenue forecast.

Use the event-definition guide to distinguish clicks, requests, confirmations and attendance. Avoid comparing mail's attended visits with search's form submissions under a shared cost-per-patient label.

Decide what the comparison can change

If the evidence shows response through a dedicated route, report that limited finding. If people report mixed discovery, retain that category. If timing, service scope or tracking changed, explain the break before presenting a before-and-after result.

A stronger experiment may need an analyst to evaluate design, geography, contamination and observation timing using the practice's real constraints. This worksheet does not create a causal experiment by itself. Do not call the absence of a tracked response proof that nobody noticed the mail, or call a branded-search rise proof that the mail caused it.

Ask the owner to finish a decision note: evidence available ___; uncertainty ___; actual cost boundary ___; capacity ___; next scoped test or purchase ___; review point ___. Continuing, changing or stopping a channel should follow that evidence and the practice's ability to handle demand.

Frequently asked questions

Does a QR code solve mail attribution?

It can identify activity through its configured destination where measurable. It does not identify people who ignore the code and later use search or another route.

Should every assisted inquiry be counted in both channel totals?

Preserve the influences, but reconcile the combined inquiry total so it does not count the same request repeatedly. Label channel participation separately from exclusive credit.

Can we use another dentist's mailing results to set our budget?

Treat them as a question to investigate. Your decision needs the actual offer, market, appointment definition, full cost boundary and evidence quality. Do not substitute an anecdote for those inputs.
