TL;DR
Define the acquired relationship before calculating audiology marketing return. Keep people, evaluations, device units, fitting activity, service agreements and cash movements separate. Reconcile them inside approved practice systems, preserve the original relationship status, and report only the connections the records support. A product transaction cannot silently stand in for a new person or a completed evaluation.
Choose the business question before the dashboard label
“Acquisitions” could mean new evaluation attendees, new device customers, outside-device service customers or existing patients placing another order. Ask which relationship the campaign was hired to develop. Write that objective next to the report before reading its total.
Google Analytics defines a session as a period of interaction with a website or app. Google's session definition. A session total belongs upstream of the practice's relationship record. That total alone cannot establish whether the visitor is new to the clinic, owns an existing device or later completes a purchase.
In audiology, also distinguish devices from people. An order with multiple device line items is still an order linked to its actual customer, not evidence of multiple acquired relationships. A replacement or loaner should keep its operational meaning rather than becoming a new sale because another item appears in the system.
Build an audiology event dictionary
Use the table as a reporting proposal. Practice and finance owners supply the actual system meanings; do not rename billing events or assume a particular software can join them.
| Record | Evidence required | What remains separate |
|---|---|---|
| Evaluation inquiry | Received request about the practice's defined evaluation | Confirmation and attendance |
| Evaluation attended | Authorized attendance record for the relevant appointment | Device recommendation, order and collection |
| Device-related inquiry | Received product or purchasing question | New clinical relationship |
| Device order | Finance-approved order event and customer link | Device units, delivery, later return and collected amount |
| Fitting or delivery activity | Practice's defined completed service event | Another acquired person or another order |
| Outside-device service | Accepted and completed service under actual practice scope | Device supplied by this practice |
| Existing agreement work | Service linked to an established obligation | New acquisition |
| Refund, exchange or replacement | Authorized status linked to the original transaction | Erasure of the original inquiry or creation of fresh demand |
Add definition owner ___; actual field ___; unit ___; original event ___; reporting cutoff ___; duplicate handling ___; unavailable data ___. Keep a separate prior-relationship rule for evaluation, device and service streams. A customer can be established in a retail system while newly attending an evaluation under the practice's declared rule.
Reconcile the device record with the service obligation
For service-linked activity, have authorized staff retain an internal connection among the relationship, device assignment and applicable service agreement. Supply source matters: a device supplied here, an accepted outside device and a temporary loaner should not receive the same acquisition meaning. Use only the identifiers and access already approved for practice operations; no device serial numbers belong in the agency summary.
Add these checks to the dictionary:
| Record change | Connection to preserve | Acquisition label to reject |
|---|---|---|
| Loaner issued during repair | Open repair and the existing service obligation | New device customer merely because another item was issued |
| Replacement supplied under applicable coverage | Original device relationship and authorized replacement event | New acquisition inferred from a new product record |
| Included adjustment completed | The agreement whose obligation was fulfilled | Another paid acquisition without a separately evidenced purchase |
| Outside device accepted for separately charged work | Verified service acceptance, completed work and actual service receipt | In-house device sale or assumed evaluation attendance |
These are reporting rules to agree with the practice, not promises about warranty coverage or included services. Acceptance of an outside-device request alone is not completed paid work. Keep its unresolved and completed states distinct. A repair completion can fulfill an existing obligation even when there is no new receipt to attribute to marketing.
Preserve the relationship at entry
Classify the relationship from evidence available at the declared entry point. Keep new, existing and unknown status stable in the cohort history. Do not let a later completed order retrospectively turn a previously known patient into a newly acquired person.
An individual returning after an interval needs the practice's own declared reactivation definition. A household contact needs a reliable person-level interpretation inside authorized systems. Do not assume a shared telephone number identifies the same attendee or that a customer account automatically identifies a clinical relationship.
Keep operational matching within practice-controlled systems and access. Ask the designated privacy owner to review any summary and intended recipient before it enters an agency report. An event dictionary is a management tool, not permission to disclose clinical, purchasing or contact records.
Reconcile the paths without forcing a funnel
Ask authorized staff to inspect whether the relevant records can establish a connection. An attended evaluation may have no subsequent practice device order. A device transaction may have no evidenced in-house evaluation in the review period. An outside-device support customer may have a paid service relationship without either event.
Label links confirmed, unresolved or unavailable. Preserve independent device and service streams when no appropriate connection exists. Do not divide all device orders by all evaluations to manufacture a conversion rate. A defensible cohort measure needs a defined eligible group, linked qualifying event, consistent person unit and cutoff; an empty denominator produces no rate.
For each reported measure, keep the original evidence source and its limitations. The general measurement dictionary handles website and discovery events. The audiology dictionary adds the relationship, device-unit and continuing-service distinctions that a marketing platform cannot supply by itself.
Ask finance what the return statement actually includes
Collected evaluation receipts, device receipts, refunds and service-related costs need agreed treatment. A gross order total is not collected cash or contribution. If a report uses contribution associated with a cohort, identify the included receipts and costs and keep the acquisition commitment visible.
A connection between an inquiry and a transaction still does not establish incremental return caused by the campaign. Referral awareness, previous relationships, other channels and missing observations may remain. State the narrower association when that is all the evidence supports.
End the review with definition changed ___; affected series ___; historical comparability ___; evidence gap ___; next decision ___. Repair inconsistent meanings before negotiating a larger campaign from an apparent improvement.
Frequently asked questions
Can fitting activity be useful marketing evidence?
It can be a defined later event for an appropriately linked cohort. Label it accurately and do not add it to orders as another acquired customer.
Should unknown relationship status be excluded?
Keep the unknown category visible and explain its treatment. Excluding it silently can make a report appear more complete than the records allow.
What if our systems cannot connect evaluations and sales?
Report separate streams and their limits. Decide whether an approved prospective reconciliation is worth the work, without inventing historical conversion or return.
