TL;DR

Ask an audiology automation vendor to rehearse acquired-inquiry handling through clarification, stop, correction and human handoff. Test an evaluation request, device-shopping question, outside-device support inquiry and existing service request separately. Require evidence of what the system did and who owns the unresolved state. A dashboard demonstration does not establish those behaviors or authorize clinical answers.

Specify the work before judging the automation

A vendor can demonstrate a contact appearing in a dashboard without showing what happens after an unanswered reply, a service question or an incorrect relationship label. Buy against those transitions. The aim is a defined administrative process with limits the practice can inspect.

Write the scope: entry routes ___; permitted administrative replies ___; approved source facts ___; allowed actions ___; stop conditions ___; human recipients ___; restart authority ___. Keep any real outreach and data collection outside the rehearsal unless separately authorized through the practice's actual controls.

This is a proposed acceptance test. It reports no measured vendor performance and does not assume GetPatients offers an inquiry automation product. GetPatients has a commercial interest in healthcare visibility services; use the same test for any automation included in its proposals.

Rehearse changes in inquiry meaning

Use clearly labeled synthetic records, practice-controlled contact details and an approved test environment. Prevent actual messages, reservations and clinical processing. Ask the vendor to show the configured state, queued action and receiving staff view, rather than only reading the outgoing copy.

Synthetic input or change Required behavior to agree Evidence to inspect
“I want information about an evaluation, not a device quote.” Preserve evaluation intent and its actual request state Record label and next action match the correction
“Can you help with a device bought somewhere else?” Use approved accepted-service facts or route for clarification No invented compatibility, coverage or service inclusion
“I already have a repair open.” Route existing service and stop inappropriate acquisition continuation Service recipient recognizes the task; queued sales actions reviewed
“Does this mean I have a confirmed appointment?” Explain the real status from an authorized source No invented booking or availability
“Please stop these messages.” Apply the practice-approved stop process Relevant queued actions stop in the demonstrated scope
Question requiring individual clinical judgment Use the approved qualified human route No diagnosis, device recommendation or monitoring claim
Receiving role unavailable Preserve unresolved status and use the agreed backup Actual recipient and permitted next action are visible

Practice owners must supply the actual communication permissions, boundaries and local escalation rules. The table does not establish legal compliance or a universal message schedule.

Test the handoff rather than its announcement

A message saying “we have passed this to the team” is only an output until the designated team can find and understand the task. Ask the recipient to identify the request type, previous correction, contact restriction and allowed next action. Verify backup coverage in the actual proposed scope.

W3C recommends clear success and error feedback for forms. W3C's notification guidance. Apply that principle to the entry acknowledgement while checking operational receipt separately. Clear wording cannot substitute for a missing receiving owner.

If a system has no demonstrated receipt or stop behavior, narrow the accepted function and keep the unresolved part explicit. An information-only tool may explain an approved route without being accepted to book appointments or conduct continuing follow-up.

Include correction, resubmission and restart

Submit a corrected synthetic inquiry through the approved setup. Ask whether the original record remains understandable and whether connected systems repeat earlier actions. A person correcting “device shopping” to “evaluation question” should not be treated as an additional acquired person just because another form arrived.

Then test a restart after a stopped or unresolved state. Who authorizes it? What evidence supports the new action? Do not allow a routine import or changed campaign label to erase a restriction. Keep the restart rule separate from an operator's ability to click a button.

For unknown facts, require an acknowledged limit and approved human route. The chatbot answer-boundary guide defines information scope. This rehearsal additionally tests queued actions, corrected intent and ownership after the public conversation ends.

Make the purchasing decision reproducible

Save test label ___; starting state ___; approved input ___; expected transition ___; observed output ___; queue evidence ___; human receipt ___; decision ___; retest requirement ___. Keep defects categorized so a successful evaluation route does not conceal failed existing-service handling.

Review the proposed contract alongside the demonstration. Name who maintains source facts, who changes routing, who can pause affected activity and what evidence the supplier returns after a repair. A narrow rehearsal cannot establish reliability for every future inquiry. It can reveal whether the vendor is prepared to show the essential states rather than asking the practice to trust a dashboard total.

Use the booking incident guide for a specific technical failure. Accept automation only within the scope actually demonstrated and supervised by the practice's assigned people.

Frequently asked questions

Is an accurate opening reply enough to accept the system?

Also inspect corrected intent, stopped actions, unresolved states and actual human receipt. The continuing behavior matters to the purchase.

Must the vendor answer device-suitability questions to be useful?

No. Accurate administrative facts and dependable routing can be useful scope. Qualified individual recommendations remain with the appropriate practice professionals.

What if the demonstration cannot show queued messages?

Record that visibility gap and require suitable evidence or narrow the accepted function. Do not infer that a stop worked solely from an outgoing acknowledgement.
